OFFICE AND BLOOMBERG SCHOOL OVERVIEW The Office of External Affairs encompasses three teams: 1) Communications and Marketing; 2) Development and Constituent Relations and 3) Finance and Administration. The Finance and Administration team provides business operations support and includes administrative, finance, development and special events staff who work collaboratively with colleagues in Communications and Marketing and Development and Constituent Relations. The School recently completed its Centennial year and is in the final year of a University- wide fundraising campaign, Rising to the Challenge. General Summary/Purpose The Project Manager is responsible for internally scheduling and coordinating projects for the Office of External Affairs by opening jobs, creating and assigning a step-by-step schedule, and coordinating efforts of staff members to ensure successful completion of each job in a timely manner. Under the direction of the Administrative Manager, the Project Manager coordinates movement of jobs through External Affairs, including the Communications & Marketing and Development teams. Projects may include work on branded giveaways, print, web, publications, media relations, editorial, digital signage, videos, and special events. Specific Duties & Responsibilities Project Management * Provide project management direction for school-wide initiatives and events * Meet with clients, obtain project specifications, create a project plan * Develop and coordinate project budgets, submit to client for approval, and obtain approval of the schedule and the billing account number from the client before any work begins * Schedule internal "kick-off" meetings for all projects, incorporating external collaborators as needed. Following the kick-off, create and circulate production schedule with staff member roles and responsibilities shown. Address staff concerns about timeline and workload if they arise. Schedule and facilitate project debrief meetings to identify opportunities for improvement for future events. * Obtain, review, and negotiate quotes from freelancers, printers, suppliers, and other vendors. * Implement and conduct project review "check-in" meetings (when appropriate) for work progress and deadline status updates. * Update job changes and publish revised schedules for distribution as needed. * Contact clients for any materials or content required to complete the scheduled project. * Proactively communicate project statuses with clients and manage effective working relationships. * Regulate time to allow for a review of concepts with internal decision makers as appropriate. * Recommend ways to streamline the project process as appropriate. * Close job and send appropriate billing information to Budget Specialist. * Work with the Director of Communications & Marketing, and her directors in the selection of vendors for all jobs based on budget, timing, and University guidelines. * Work closely with budget managers to create RFPs for large projects * In conjunction with the Administrative Coordinator, verify independent contractor status with university for all freelancers, and obtain proper documentation before work commences. * Liaise with external clients on behalf of the C+M team on ways to publicize events. OEA Project Management administration * Provide proactive ideas and plans to continuously improve the project management process and effectiveness across the office. Minimum Qualifications Bachelor's degree required. Three to five years related work experience required. Special Knowledge, Skills, and Abilities This position requires a highly organized individual with excellent written and oral communication skills, an intense attention to detail, the ability to proactively manage multiple projects simultaneously, is deadline driven, and has the ability to set priorities for self and others. * Will meet with clients outside of our department and will need to move around the campus. * May also need to pick up and deliver materials to clients as appropriate. * A professional manner and the ability to effectively function in an extremely fast-paced environment is required. Certification in project management is preferred. * Expert level experience using a project management system such as Smartsheet is required. The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
