Job Description Job Description Techmark Corporation, a Baltimore-based commercial fire and security integrator, is seeking an organized, detail-oriented individual to join our team in Timonium, MD. Techmark is a local leader in the integration of commercial fire, intrusion, video, and card access systems. Established in 1996, our organization is locally owned and operated. The Inventory & Operations Coordinator plays a central role in keeping our service and installation teams running smoothly. This position manages inventory, supports billing and scheduling, handles collections activity, and serves as a frontline point of contact for customer inquiries. The ideal candidate is proactive, communicates well, and takes pride in operational follow-through. General Responsibilities • Order and maintain adequate inventory of equipment and materials; manage vendor relationships to ensure timely delivery. • Receive and detail incoming equipment for jobs; arrange return of defective materials. • Prepare necessary paperwork to ensure accurate and timely customer billing. • Conduct collections follow-up on outstanding accounts, including outbound calls and written communication to customers with past-due balances. • Support service, installation, and inspection appointments. • Perform administrative duties associated with scheduling across service, installation, and inspection departments. • Answer and route incoming service calls; provide frontline customer support. • Respond to customer and staff inquiries requiring knowledge of company policies and procedures. • Effectively use Microsoft 365 applications including Word, Excel, and Outlook. • Schedule and prioritize workload by setting appropriate deadlines. • Uphold the customer service philosophy of Techmark Corporation. • The company reserves the right to add or change duties at any time. Qualifications • 1–2 years of related experience in an administrative, operations, or customer service role • Proficiency with Microsoft 365 applications (Word, Excel, Outlook) required • Strong attention to detail, particularly around billing, data entry, and follow-through • Comfort with numbers and basic record-keeping; experience with collections or accounts receivable a plus • Knowledge of inventory management systems a plus but not required • Experience in a service-based or field operations business preferred Skills • Excellent written and verbal communication • Strong customer service orientation and professional phone manner • Organized and self-directed; able to manage multiple priorities • Collaborative team player with a positive, can-do attitude • Comfortable with administrative and clerical responsibilities Benefits • Competitive compensation • Medical, prescription, and dental insurance • 401(k) plan • Life and disability insurance • Paid vacation, holidays, and personal time
